Photo Booth and GDPR: What You Need to Know for Events

Why Data Protection Matters for Photo Booths

Personal data is processed at every event, at the latest when guests enter their email address or photos are uploaded to an online gallery. For companies, GDPR compliance is not optional but a legal obligation. Negligence risks fines and reputational damage.

What Data Does a Photo Booth Collect?

Depending on the configuration, a photo booth captures various data: photos (which count as personal data since individuals are recognisable), email addresses for lead capture, names and other details from custom questionnaires, and IP addresses when accessing the online gallery. All of this data is subject to GDPR.

Consent: Before the First Photo

Before a guest uses the photo booth, legally valid consent must be obtained. This can be done via a consent screen directly on the photo booth. Important: consent must be voluntary, informed and explicit. A simple notice in the entrance area is not sufficient.

Server Location and Data Transfer

Ask your photo booth provider specifically: Where are photos and data stored? EU or DACH-region servers are mandatory. Transfers to third countries (e.g. USA) require additional protective measures. At Pixtar, all data is stored on servers in the DACH region.

Deletion Periods and Data Provision

After the event, clear processes must exist for data provision and subsequent deletion. How long are photos and data stored? Who has access? How and when are they deleted? A professional provider has clear answers and documented processes.

Checklist for Your Next Event

Check before booking: Does the provider offer a data processing agreement (DPA)? Are consents obtained digitally at the photo booth? Are servers located in the EU? Are there defined deletion periods? Can captured data be securely exported? If your provider has clear answers to all these questions, you're on the safe side.
